About Timezone Meeting Planner

This timezone meeting planner finds the hour that works for everyone. Your own time zone is already on the board — add the people you want to meet from a searchable list of about 78 cities, and a single draggable marker shows each person's local time side by side. Slide it across the day and watch every row update instantly.

Each timeline is colour-coded into three bands so a good slot is obvious at a glance: green Working hours (09:00–18:00), amber Stretch hours (07:00–09:00 and 18:00–22:00) and dark Asleep hours (22:00–07:00). An overlap meter shows what share of participants are inside working hours at the marker, and "Jump to best time" snaps to the slot that puts the most people in their working day while waking the fewest.

All of the maths runs in your browser using your device's built-in IANA time-zone database via the Intl API, so daylight-saving changes and awkward offsets — India's +5:30, Nepal's +5:45, Adelaide's +9:30 — are always exact, with no server and nothing sent anywhere. When you have picked a time you can copy a clean summary list or download a standard .ics calendar invite to drop straight into Google Calendar, Outlook or Apple Calendar.

Frequently asked questions

It reads your device's IANA time-zone database through the browser's Intl API, the same source your operating system uses. That means DST transitions are applied correctly for the specific date you pick — schedule a call in March or November and each city shifts on its own changeover date, not a fixed guess.

They mark each person's day at a glance. Green is core working hours (9am–6pm), amber is "stretch" time that is workable but early or late (7–9am and 6–10pm), and dark is sleeping hours (10pm–7am). When the marker sits in green for everyone, you have found a comfortable meeting time.

It scans every half-hour slot across the day and picks the one where the most participants fall inside working hours, breaking ties in favour of the slot that leaves the fewest people asleep. It is a fast way to find the fairest compromise before fine-tuning the marker yourself.

No. Every calculation happens locally in your browser, and the cities you add are saved only in this browser's local storage so the board is ready next time. Nothing is uploaded, and the calendar invite is generated on your device when you download it.

Yes. Once the marker is set, "Add to calendar" downloads a standard .ics file with the meeting time, which opens in Google Calendar, Outlook, Apple Calendar and most other apps. You can also copy a plain-text list of everyone's local time to paste into chat or email.

Timezone Meeting Planner is 100% free — no signup, no watermarks and no usage limits. It’s one of 200+ free tools we build and give away.
